If you rely heavily on your Mac for the day-to-day operation of your small business, you know the frustration when your computer system doesn't function as it should. A peripheral device, such as a printer, can suddenly become inoperable after working just hours before. Because there are so many factors involved with your printer and your Mac, you may have to troubleshoot several issues to get to the root of the problem.
Cables and Connections
- It may seem like the most obvious first place to check, but if there are many peripherals or cables plugged into your Mac, the printer cable may have become disconnected and you may not have noticed. To troubleshoot your connections, disconnect every cable between the printer and computer, then reconnect, making sure that the connections are tight. Each Mac model has several USB ports; if your printer still doesn't work after reconnecting the cables, try another USB port. Occasionally, USB cables can also go bad after a while. With the cables connected, open the System Profiler from the Apple menu under "About this Mac." Click on the "More Info" button, then click on "Printers." If your printer is not listed, try a different USB cable. If you see more than one printer listed in the System Profiler, check to see if you have the required software installed for the second printer, then try printing to that model. Your original printer could be dead.
Application or Driver Issues
- If you are trying to print from the same application without success, quit the program and try printing from a native Mac OS X software program, such as TextEdit. If the printer works, there is probably an issue related to the software program or printer drivers that are installed with Mac OS X. To stay up-to-date on all your Mac software, use Software Update to find and install any updated software that may affect your printer. If your printer driver is missing, download a copy of the driver from the Mac OS X downloads page or check the printer manufacturer's website. Follow the on-screen instructions to install the driver that is compatible for the OS X version you are running. Furthermore, visit the software developer's website to discern if there is an update, patch or fix for compatibility issues between the software, your Mac and the printer.
Network Issues
- Macs that are networked through AppleTalk may present their own communication issues with the printer. If your file sharing options are off or your Web browsing is not available, your printer can't communicate with your Mac. Select System Preferences from the Apple Menu, then click the "Network" icon, then "Advanced," then "Apple Talk." Verify that AppleTalk is active. If another printer is active in the menu, try printing to it. When printing to a wireless printer, add the printer to your network by connecting temporarily via USB. If you have recently updated your system software to Lion which no longer supports AppleTalk this troubleshooting test does not apply.
Delete Printer and Print Job Queue
- If you've been trying to print for a while and have been unsuccessful, you may have several jobs in the Print Job queue, which varies depending upon your printer. Epson printers, for example, use a standalone Printer Utility application that lets you check ink levels and clear job queues. You can also use the Mac OS X "Open Print Queue" feature located in the "Print & Fax" pane of your System Preferences. Click on the job name in the queue, then delete the file. Delete the printer itself by selecting System Preferences again, then "Print & Fax." If the padlock icon at the bottom of the window is unlocked, click it, then enter your administrator login name and password. Select the - [minus] icon underneath the Printers panel to delete the printer from the Printer list. Re-add your printer by selecting the "Add Printer" function indicated by a + [plus] sign. If the printing problem continues, delete the printer, then add it once again.
Repair Permissions
Repairing your Mac's permissions can frequently clear up issues, especially when permissions or system files are corrupted. To repair permissions, double-click the Utilities icon in the Applications folder, then open Disk Utility. Select "First Aid" and click on the hard drive in the Disk Utility window. Run the software by clicking the "Repair Disk Permissions" button. The program will check the hard drive for corrupted permissions.
